Cancellation rights and charges are determined by the exact hotel rate confirmed for your booking. Always rely on the written cancellation deadline and charge stated in the final offer and confirmation.
1. Rate types
Hotel rates commonly include:
- Flexible rates — cancellation may be permitted without charge before a stated local deadline;
- Partially refundable rates — a fixed amount or percentage may be retained;
- Non-refundable rates — the full amount may become due immediately and remain non-refundable.
The label alone is not sufficient; review the exact written condition for the selected room and dates.
2. How to request cancellation
Send a written request through WhatsApp or travel@eurovia-travel.com and include the lead traveller name, hotel, dates and booking reference. A cancellation is effective only after receipt is acknowledged and the applicable supplier outcome is confirmed.
Do not assume that deleting a message, contacting an unrelated hotel department or failing to arrive cancels a booking.
3. Deadlines and local time
Unless the written confirmation says otherwise, deadlines use the hotel’s local date and time. Allow sufficient time for the request to be received and processed. A request received after the deadline may be subject to the next applicable charge.
4. Amendments
Changes to dates, traveller names, occupancy, room type or meal plan require supplier approval and fresh availability. A change may result in a new rate, administration cost or loss of the original cancellation terms.
5. No-shows and early departure
If a guest does not arrive, arrives too late without notice or leaves early, the hotel may charge some or all of the confirmed stay. Contact us and the property as soon as a delay becomes known.
6. Refunds
Any eligible refund is subject to the confirmed rate terms and supplier approval. Processing time depends on the hotel, booking partner, bank and payment method. Where possible, approved refunds are returned to the original payment method.
Currency movements, bank fees or card-provider charges may cause the amount received to differ from the original converted amount.
7. Exceptional circumstances
Weather, transport disruption, illness, government action and other exceptional events do not automatically override a non-refundable rate. We will request any flexibility available under the supplier’s rules, but cannot guarantee a waiver. Appropriate travel insurance is recommended.
8. Supplier cancellation or material change
If the hotel or supplier cancels or materially changes a confirmed stay, Eurovia Travel will communicate the alternatives or refund remedies made available by that supplier and assist with the response.
9. Evidence and communication
Keep the written offer, payment record, confirmation, cancellation request and acknowledgment. These documents identify the applicable conditions and help resolve any disagreement.
