These Booking Conditions explain the general process used by Eurovia Travel. The hotel name, room category, total price, payment deadline and supplier-specific conditions stated in your final written offer form the terms for that particular booking.
1. Scope and service
Eurovia Travel assists travellers with identifying and requesting accommodation across Europe. We may communicate with hotels, accommodation suppliers or booking partners to check options matching the information you provide.
Unless expressly stated in the written confirmation, catalogue cards are hotel ideas and reference offers rather than guaranteed inventory.
2. Enquiries and traveller information
You are responsible for providing accurate information, including:
- destination or preferred hotel;
- check-in and check-out dates;
- number and ages of guests;
- room, bedding, accessibility and meal requirements;
- correct lead traveller name, telephone number and email address.
Tell us immediately if information changes. A supplier may treat a change of name, dates or occupancy as a new request.
3. Prices, savings and availability
Website “from” prices, crossed-out prices and saving percentages are indicative reference values. They may change by date, demand, currency, room category, length of stay and supplier availability.
Your written offer should identify the accommodation, room and board basis, stay dates, occupancy, taxes known at quotation time, total payable amount, currency and payment deadline. Local city taxes, deposits or resort charges payable at the property will be stated where supplied to us.
4. Written offer and confirmation
An offer is subject to availability until confirmed. Review every detail before accepting. A booking is confirmed only when:
- you accept the final written offer;
- any required payment or payment authorisation is completed;
- Eurovia Travel issues or forwards a written confirmation containing a booking reference.
Do not rely on a screenshot of a catalogue card as booking confirmation.
5. Payments and security
Payment instructions, currency, deadlines and any staged-payment schedule will be communicated with the final offer. Use only the secure payment method or verified payment instruction provided for that booking.
Do not send card numbers, security codes, banking passwords or identity-document scans through the website form or ordinary WhatsApp messages.
6. Special requests and hotel rules
Special requests are passed to the supplier but are not guaranteed unless expressly confirmed in writing. The property controls check-in and check-out times, deposits, smoking rules, pet policies, age restrictions, accessibility arrangements and conduct requirements.
7. Travel documents and personal responsibility
Travellers are responsible for passports, visas, entry requirements, insurance and timely arrival. Names should match the identification used for travel. Eurovia Travel does not provide immigration or medical advice.
8. Changes, disruption and supplier action
Requested changes require fresh availability and may affect the price or cancellation conditions. If a supplier makes a material change, we will communicate the available alternatives or remedies provided by that supplier.
9. Problems and complaints
Report a problem as soon as possible while assistance may still be arranged. Contact Eurovia Travel through WhatsApp or travel@eurovia-travel.com and provide the booking reference, hotel, dates and a clear description of the issue.
